The Events Resource Pack

And then it was onwards to creating a custom made resource pack for the communitymatters team.

However, it is a resource pack that can easily be tailored to any group who are involved in organising events.

In this pack there were a variety of different sources of information. We included different examples of planning checklists that people could use or adapt to suit their needs for an event.

There were checklists included:

  • How to pick the perfect venue
  • How to check you had all the AV requirements
  • How to check the event materials are going to be there on the day
  • Catering, and so on.

Selecting menusEach list contained all of the important aspects of each section. e.g.in catering there were things like;

  • How many are to be catered for?
  • What time are services?
  • Will there be a top table?
  • How will tables be decorated?
  • Is a Microphone needed at the top table?
  • And on and on.

The information was created in such a way that it would suit a variety of different people’s way of working. Not everyone likes to work in the same way when dealing with things. I know I like to have everything written down in front of me and work on checklists, I make my own “to do” list with everything I do while I know Jacky doesn’t work like that.

In the pack were a lot of reference documents that people could use time and time again. There were copies of some of the activities and exercises done throughout the day.

There is a copy of the various job specifications. Knowing that the team may rotate roles we figured it would be good to have a job role to look back at on a later date. We gave examples of room layouts and setups. With the pros and cons of each of the different layouts.

Being a volunteer group we adapted the exhibition layout and gave an example of how the different positions within the room were beneficial to different parties.

We also provided template examples of signage for a variety of different activities that can be used over and over. The pack also contains a variety of examples of programmes and evaluation forms to refer to and make suitable editions for their own events.

VotingAll in all there are plenty of materials for the communitymatters team to use while organising their events in the future.

The feedback we received via the evaluation forms suggested the whole day was very successful. The majority of attendees said that we met their expectations or exceeded them, writing positive comments about the hints and tips they received throughout the day. Attending the training were people who have organised events before and people who are just becoming involved in events with everyone writing about a positive experience and beneficial to all. 

This was such a success we are now looking to build on this course and get this training into different organisations just like communitymatters.
